7:13 p.m. Called to Meeting:
President Marin Hauble called to meeting. Present Tammi Brinkman-Treasurer, Michelle Beauvais-Secretary, Scott Beauvais-Trail Boss and Adam Schumaker-Trail Boss. Absent: Erv Shauer-Vice President. About 20 members also in attendance. Attendance Roster sent around.
Previous Secretary voted in, in the first meeting, resigned and Michelle Beauvais was voted in by the board members as the new secretary. No opposition from the members in attendance on November 29, 2016. Michelle Beauvais will act as Secretary until the next officers are elected.
Public Hearing at Somerset Village Hall
Discussion regarding voting in the Somerset WI ATV Club (from here on out known as SWAC) Bylaws in regards to the club. Bylaws were submitted to the Somerset Township for approval to ATV Ordinance to open all roads in Somerset Township.
Discussion regarding the presentation to the Somerset Township board meeting on November 2, 2016. Boards members seemed agreeable to opening town roads to ATV public access. The board will run a public hearing announcement in the paper and they will vote in the December 7, 2016 meeting about the ATV Ordinance.
We believe that Village President John Melvin would also be agreeable to opening access for ATV in the Village of Somerset.
We would like all members to come to the next Somerset Township meeting on December 7, 2016 at 7:30 p.m. to show our support, as a group, in supporting the ATV ordinance.
Social Media Outreach
Amber Campeau has generously donated her time to set up the SWAC website and Facebook group to promote membership. We need to get a link on the WI ATV association website to our website.
SWAC Treasury Report
Tammi Brinkman discussed SWAC Non-profit exempt status and needing to get our tax forms in and the cost associated with the set up. Approximately $400 to set up the tax account. Most of the membership fees collected were used in setting up the non-profit status with our tax identification number, mail box at the Somerset Post Office and checking account established at Royal Credit Union in Somerset, WI. Member Louie Germain, was going to ask and attorney friend about what forms needed to file to get our nonexempt, nonprofit tax status.
Public Donation/Fundraising Idea’s
Discussion in regards to getting donations for posts and signage for our side roads. Polaris in Osceola is willing to donate $1000. Martin Hauble will work on that donation. Martin will work on other sister sites of Polaris to get other donations. Possible ATV dealership donations; Airtec, Century Power Sports, NextGen and St. Croix Power Sports. Possible meat raffles; other bars use Brad the butcher at Econo and buy Meat Raffle package. Need to research the meat raffle aspect and see what kind of permits are required to do a raffle. Donations from local business for advertising on the trail map and sponsorships. Other ideas are Bean bag tournaments, and Bocce Ball fundraiser.
ATV Trail signs
Reach out to other ATV clubs to see if they have extra signage they can donate to us. Greg Olson has signs and posts we can purchase.
We would like to set up group events for riding that are family friendly. Would like to connect with other ATV groups for riding. Quad county ATV and SWORDS ATV put on fun group rides with poker runs that gives out prizes.
